Position Summary

The Assistant Dean of Admissions at Dell Medical School provides strategic leadership, vision, and direction for all aspects of the admissions process. This role oversees the recruitment, selection, and matriculation of students, ensuring alignment with the school’s mission and goals. The Assistant Dean guides the admissions team, directs admissions events, and collaborates with internal and external stakeholders to develop policies, ensure compliance, and analyze data to support strategic decision-making. This person will work closely with the Director of Admissions and the office staff.

 

Essential Duties & Responsibilities

Admissions Selection Committee (ASC) and Process Oversight:

  • Oversee the scheduling, preparation, and facilitation of all Admissions Selection Committee (ASC) meetings, ensuring efficient operations and effective discussions.
  • Serve as a voting member of the ASC and a member of the three-person Executive Sub-Committee, actively contributing to admissions decisions and maintaining alignment with the school’s mission and strategic priorities.
  • Lead the development of evaluation criteria and processes that ensure candidates are assessed fairly and consistently, based on attributes aligned with Dell Medical School’s institutional mission and goals.
  • Ensure that committee deliberations are conducted in compliance with policies and regulations, and that decisions are made with transparency and integrity.

Policy Development and Compliance:

  • Collaborate with the Associate Dean for Student Affairs and the Admissions Committee to develop and implement admissions policies and procedures.
  • Ensure compliance with institutional policies as well as state, federal, and accreditation regulations.
  • Conduct periodic reviews of policies and report findings to the Associate Dean and Admissions Committee.
  • Lead efforts to align admissions policies with the school's institutional mission and goals.

Training and Documentation:

  • Develop comprehensive training materials and documentation for faculty, staff, and student volunteers to ensure they are familiar with policies, regulations, and evaluation processes.

Communications and Outreach:

  • Oversee the planning and execution of admissions-related events to ensure a positive experience for all participants.
  • Oversee communications with potential applicants, accepted students, those denied admission, and those on the waitlist.

Collaboration with External Partners:

  • Actively engage with the Texas Medical Dental School Application Service (TMDSAS), the Joint Admissions Medical Program (JAMP), and the Office of Graduate Admissions (GIAC) to ensure seamless processing and sharing of applicant information.
  • Foster and strengthen relationships with external partners to support Dell Medical School’s admissions goals.
  • Collaborate closely with undergraduate health professions advisors across the state to keep them informed about Dell Medical School’s admissions requirements and the desired attributes of successful applicants.

Data Analysis and Reporting:

  • Prepare reports and data presentations for leadership, providing insights into admissions trends and outcomes.

Other Duties as Assigned:

  • Take on additional responsibilities as required to support the evolving needs and initiatives of the Admissions Office and Dell Medical School.

Clinical or teaching work as appropriate

Qualifications

Required Qualifications

  • MD/DO. Consideration of PhD or equivalent with significant Admissions experience. 
  • 5 years of experience in admissions. 
  • A strong track record in building and leading teams. 
  • Project management experience. 
  • Demonstrated leadership and process improvement skills in complex environments. 
  • Excellent written and verbal communication skills
  • Able to obtain a Texas Medical License and be credentialled in local clinical facilities as appropriate.

 

Preferred Qualifications

  • A proven track record of mission-driven strategic planning, demonstrated by measurable outcomes.
  • Experience in medical school admissions.
  • Familiarity with holistic review processes and demonstrated ability to assess candidates beyond academic metrics, including leadership, resilience, and community engagement. 
  • Experience with TMDSAS or AACOMAS centralized application services is also preferred.
  • Data analytic skills.
