Position Overview

The Dean's Office in the Faculty of Veterinary Medicine is currently seeking a Full-time Temporary Relief Professional Skills Facilitator for approximately 6 months.

This position is primarily responsible to provide advice as well as administrative and project management support to the Professional Skills Chair and coordinators and participating faculty as well as students for the delivery of all aspects of Professional Skills across all curriculum years. One of the focuses of this position is the responsibility for the day-to-day logistical support of all aspects of the Professional Skills courses offered by the Faculty of Veterinary Medicine, including a proactive response and resolution of problems. This position will work in close collaboration with the Simulated Client (SC) Coordinator and faculty to assist with the organization, delivery and assessment of communication skills laboratories and Objective Structured Clinical Exams (OSCE).

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

General Program Advice/Oversight

  • Advise students, faculty and practitioners on all procedures, requirements and deadlines to ensure the smooth delivery of the Professional Skills program.
  • First point of contact for students regarding PS skills courses.  Will redirect inquiries when appropriate. Schedule teacher/student meetings when required.
  • Oversee travel arrangements for guest lecturers/speakers/facilitators as well as assist with the organization of PS Summit Day(s), P/skills retreats and assist in facilitating course related events.
  • Schedule PS meetings as required and will be most often requested to attend and take meeting minutes.
  • Provides administrative support that may include initiating non-employee travel expenses, honorariums and requesting payment for invoices pertaining to PS courses.
  • Assist the SC Coordinator in building and maintaining effective working relationships within the various acting communities and theatre groups in order to facilitate recruitment of qualified SCs.

Professional Skills Courses/Laboratories

  • Contributes by provide feedback as well as administrative support for faculty regarding the long range planning of the Professional Skills courses. 
  • Provides advice and feedback to faculty members regarding observations, recommendations and feedback that may influence the delivery strategies, policies, procedures and guidelines for the Professional Skills courses.
  • Assist the SC Coordinator in organizing case materials, developing lab schedules, maintaining contact list and data bases so they are accessible and organized for ongoing maintenance and development of the communication program.
  • Book rooms for lectures and labs, making changes where necessary during the course of the curriculum year.
  • Submit appropriate IT and AV requests as needed and ensure camera carts and any other required AV equipment associated with the labs are set up, cleaned up and are in working order.
  • Downloading video and preparing discs for students from above mentioned AV and IT requests.
  • Set up laboratory materials and clean up after use. This may include assisting in organizing the use of live animals, handling the animals, cleaning up after the animals.
  • Assist faculty with posting assignments, teachers comments, etc on D2L.
  • Assist with communication coaching workshops by organizing catering needs, confirming attendance, collecting, printing and organizing materials into binders, travel arrangements for out of town participants, participating in demo, scheduling actors for the practice sessions.

Simulated Clients

  • Maintaining a current and accurate database of Simulated Clients to facilitate effective program delivery and scheduling.
  • Assist the SC Coordinator with simulated client training sessions and workshops as required.

Objective Structured Clinical Examination (OSCE)

  • Schedule rooms (in CSB/Med Skills as required) if SC coordinator is not available to do so.
  • Generate schedule of the day's schedule of coaches as examiners, organize supplies and materials for each OSCE case and examiner checklists.
  • Prepare PEP questionnaires as directed by course communications stream lead
  • Confirm examiners, simulated clients and student exam times, as well as timing of the int.eractions.

Clinical Skills and Animal Handling

  • During higher demand times in Clinical Skills and lower demand times in Professional Skills this position will be expected to assist in other Clinical based courses which may include:
    • Assisting with animal movement and restraint in Clinical Skills labs.
    • Assisting with animal treatments when needed.
    • Assisting with animals brought in for other courses like Anatomy or Pathology rotations.
    • Clean up of areas after above mentioned activities.

Qualifications / Requirements:

  • Relevant Post-secondary education and/or a combination of related experience and training may be considered.
  • Preference will be given to candidates with previous University experience, particularly those with experience in an academic environment.
  • Minimum of 3 years' experience in an administrative position.
  • Project management experience considered desirable as is experience in a veterinary clinical environment (including animal handling).
  • Proven abilities in managing several projects simultaneously as well as meeting deadlines.
  • Proficient computer software skills including data bases, spread sheets, word processing and basic graphic design programs.
  • Ability to interact with faculty, student, co-workers, veterinary professionals and community members representing a broad spectrum of interests and expertise is essential.
  • Proven ability to work effectively in a team environment.
